Privacy Policy

Last updated October 7, 2026

This Privacy Policy explains how Providers Hub ("Providers Hub," "we," "us") collects, uses, and protects information when you use the Providers Hub website and mobile application (the "Service"). Providers Hub is a resource portal for Virginia developmental disability service providers, operated by the Virginia Office of Provider Network Supports.

Information We Collect

  • Account information — your name, email address, and password when you create an account.
  • Profile information — your role, organization, job title, specialty, services provided, phone number, address, city, ZIP code, DBHDS region, counties served, license number, NPI, website, scheduling link, and biography, as you provide them.
  • Directory and communication content — listings, inquiries, meeting requests, support messages, discussion posts, and suggestions you submit through the Service.
  • Payment information — subscription and billing details are collected and processed by our payment processor, Stripe. We do not store full payment card numbers on our servers.
  • Mobile phone number and messaging consent — the mobile number you provide and your consent to receive text messages, along with the date and method of your consent.
  • Usage information — standard technical data such as pages viewed, device and browser type, and approximate location, collected to keep the Service secure and working properly.

How We Use Information

  • To create and manage your account and verify your role and credentials.
  • To publish and display provider, coordinator, and advocate directory listings you choose to share.
  • To deliver the resources, trainings, calendars, and notifications offered through the Service.
  • To process subscription payments and manage account access.
  • To send service-related email and text messages you have agreed to receive, including account approval notices, subscription reminders, and license expiration alerts.
  • To respond to your support requests and improve the Service.
  • To meet legal, licensing, and regulatory obligations.

SMS / Text Messaging

By providing your mobile phone number and opting in, you consent to receive text messages from Providers Hub at that number. These messages may include account approval notices, subscription and payment reminders, license expiration alerts, and other service-related notifications.

  • Message frequency varies, based on your account activity and the notifications you receive.
  • Message and data rates may apply.
  • Reply STOP to any message to unsubscribe at any time. Reply HELP for help.
  • Consent to receive text messages is not a condition of purchasing any goods or services.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

How We Share Information

We do not sell your personal information. We share information only as described below and only with parties who are bound to protect it:

  • Directory listings — profile information you choose to publish is visible to other users of the Service and is intended to be shared for professional referral purposes.
  • Service providers — vendors who help us operate the Service, including our payment processor (Stripe), our messaging provider (Twilio), and our hosting provider. They receive only what they need to perform their function and may not use it for their own marketing.
  • Legal requirements — when required by law, regulation, subpoena, or to protect the rights, safety, and security of our users or the public.

Your Choices and Rights

  • You may review and update your profile information at any time from your account.
  • You may opt out of text messages by replying STOP, and opt out of non-essential email using the unsubscribe link in the message.
  • You may request a copy of your information, ask us to correct it, or ask us to delete your account by contacting us at the address below.

Data Retention and Security

We keep your information for as long as your account is active or as needed to provide the Service and meet our legal obligations. We use administrative, technical, and physical safeguards designed to protect your information, including encrypted connections and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children's Privacy

The Service is intended for professionals and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of the Service after an update means you accept the revised policy.
